Zenith Workspaces Assistant (ChatGPT plugin) – Privacy Policy

This policy covers the Zenith Workspaces plugin for ChatGPT and other AI assistants (the "Plugin"). Zenith Workspaces, 106 Apple Street, Suite 200W, Tinton Falls, NJ 07724, runs the Plugin.
What the Plugin does
The Plugin answers questions about Zenith Workspaces. It can list rooms, check whether a room is free on a date, give general information and FAQs, and return a link to Zenith's online booking page. It is read-only. It cannot make bookings, take payments or change anything.
Information we receive
When you use the Plugin, your AI assistant sends us only the inputs the tool needs:
• a room name (or "any office"),
• a date, and optionally a start time and duration,
an optional FAQ topic or keyword.
We do not ask for or receive your name, email address, phone number, account details, payment details or the content of your conversation. The Plugin has no sign-in and creates no accounts.
What we store
We do not store any personal data, and we do not store your requests.
• Logs: We do not keep application logs of requests beyond the standard operational logs of our hosting provider, Cloudflare. Those may include IP address, time, and request metadata, and Cloudflare keeps them under its own retention policy (https://www.cloudflare.com/privacypolicy/).
• Rate limiting: To prevent abuse, we count requests for 60 seconds per network prefix: the first three parts of an IPv4 address (a /24) or the first 48 bits of an IPv6 address. We do not use the full IP address. The counter is held only in temporary memory, is not written to permanent storage, is not linked to any identity, and is reset when a new 60-second window starts.
• Caching: Availability results for a room and date may be cached for up to 60 seconds. They contain no information about you.
Where availability comes from
Room availability is read from Zenith's booking system, Optix (https://www.optixapp.com). The Plugin sends only the room and the date range to Optix, using Zenith's own account. It never sends your information there. The only data the Plugin returns is busy and free time ranges. No information about other members or their bookings is returned.
Booking links
If you open a booking link, you leave the Plugin and go to Zenith's booking page, which Optix hosts. Information you enter there, such as your account or payment details, is covered by Zenith's main privacy policy and the Optix privacy policy, not this one.
Sharing
We do not sell, rent or share any information from Plugin requests. We do not use it for advertising or profiling.
Children
The Plugin is meant for adults looking for workspace and is not directed at children under 13.
Changes
If this policy changes, we will update the date above.
